Facility Administrator/Personal Assistant

Entry-level/junior position working for a BMA member company at the forefront of the marketing research industry, with in-house focus group facility.

Job duties:

 

  • Answer phones
  • Clerical duties – data entry, copying, filing, greeting clients and vendors, sorting mail and sending and receiving packages daily (Fed-X, USPS, UPS, etc.)
  • Ordering and inventory for all office supplies as well as shipping supplies
  • Maintaining all facility supplies – stock, clients, respondents (weekly Costco & Kings Soopers as well as other misc. needs like Bed, Bath & Beyond, etc.),
  • Keeping all facility items stocked like soap dispensers filled, TP and paper towels, respondent fridge, client fridge, kegerator and bar, storage room, etc.
  • Set up and prep facility when booked (respondents sandwiches, snacks as well as client trays like veggies, cheese & crackers, snacks, desserts, popping the popcorn in the machine, making lattes, etc.) and sometime cooking light meals (grilling kabobs, crock pot meals, pretzel bars, panini bar, deli trays, pasta salad, etc.
  • Writing company memos, letters, and preparing agenda and materials for weekly staff meetings on Friday’s at 10:00 a.m.
  • Updating and maintaining employee vacation tracking and record keeping
  • Booking travel arrangements, appointment setting, and client relations
  • Support in planning of company functions such as holiday parties and summer picnics, as well as staff and volunteer meetings and annual retreats quarterly
  • wOperate and maintain all office equipment (copiers, printers, DVD, VHS, Digital Audio, Kerig, Artcool, Wii system, Expresso & Frapachino machines, popcorn machine, pinball machine, shredders, etc.)
  • Maintain carpet cleaning and painting and stain touch ups for the entire facility - monthly
  • Overall maintenance of facility cleanliness including storage area, desks, viewing room, bar, outdoor living space, etc.)
  • Maintain facility overall – calling for repairs, watering plants, fill bird feeder, cleaning deck in Summer, etc.  Water indoor plants once a week on Monday’s
  •  Personal errands and duties for the President (examples – drop dogs at daycare and/grooming, clean car, schedule appointments, schedule personal travel, light cooking, etc. dry cleaning, setting up parties, etc.)
  • Train a back up person to cover for you when you are out sick or on vacation
  • Look for efficiencies around the office
  • Follow all company protocols
  •  Reports to President
  • Other duties as necessary and assigned by Facility and Operations Directors
